Cancellations, Financial Responsibility & Misc.

All monies paid for wedding and/or cabin reservations are non-refundable. We are reserving a date, time and staff services along with venue for you, and you alone. This means that we will be turning away business for your particular date, location and time frame. Some reservations/services may be rescheduled if given at least 60 days notice; in these circumstances, Flower Mountain reserves the right to recover any, and all, additional incurred fees, from client relating to rescheduling process.

ALL BALANCES MUST BE PAID NO LATER THAN THE ASSIGNED DATE PER YOUR WEDDING CONFIRMATION TO AVOID CANCELLATION.

Once your payment is processed and package is booked additions may be made up to 14 days prior to your wedding. However, you may not downgrade or switch packaging.
NO EXCEPTIONS. 

YOU MUST BRING YOUR TENNESSEE STATE MARRIAGE LICENSE TO BE MARRIED IN THE STATE OF TENNESSEE.

WE DO NOT PERFORM COMMITMENT OR CIVIL CEREMONIES.

EFFECTIVE SEPTEMBER 20, 2013: COUPLES WHO BOOK WEDDINGS FROM THIS DATE ON MUST USE OUR ORDAINED MINISTERS FOR THEIR CEREMONY (UNLESS THEY ARE A CLOSE FAMILY MEMBER) AND WEDDING COORDINATORS FOR THEIR EVENT PLANNING AT THE VENUE.

EFFECTIVE OCTOBER 9, 2014: COUPLES WHO WANT TO USE AN AISLE RUNNER FOR THEIR CEREMONY MUST PURCHASE THEIR RUNNER FROM THE ORIGINAL RUNNER COMPANY AND THE RUNNER MUST BE MADE OF THE FOLLOWING: REAL FABRIC WITH NON-SLIP FOAM BACKING THAT KEEPS THE RUNNER SMOOTH AND FLAT DURING THE CEREMONY.  TO USE AN AISLE RUNNER AT FLOWER MOUNTAIN WEDDINGS, YOU MUST PROVIDE PROOF OF PURCHASE TO THE OFFICE STAFF AT LEAST TEN (10) DAYS PRIOR TO YOUR WEDDING EVENT AND EXPRESS YOUR DESIRE TO HAVE A RUNNER DURING YOUR CEREMONY.  CHEAP, THIN FABRIC IS NOT ALLOWED DUE TO RISK OF FALLS AND THE INABILITY OF THESE TYPES OF FABRICS STAYING DOWN IF A BREEZE IS PRESENT.

There is a total of 1 hour in person consultation time gifted in your wedding package this must be used for the following criteria. This consultation time must be used at least one month prior to your wedding date. Email correspondence is a preferred method because documentation is important. Additional time for in person and over the phone consultation about details (this does not apply to payments) will be charged at the rate of $50 per 1/2 hour and has a $50 dollar minimum.

Effective June 1, 2014: Rehearsals are not included with your booked wedding/event.  They may be added based on availability at the rate of $199 per half hour with a wedding coordinator present.


Photo and video policies

It is understood that any and all proofs, sample prints, digital photography/videography media and negatives remain the property of Flower Mountain & Gatlinburg Photo. All photographs created by the photographer are copyright protected. It is a violation of federal copyright law to copy, scan, or allow photographs the photographer has created to be re-printed, duplicated, digitally reproduced, copied, scanned or altered (digitally, or otherwise) without the photographer's express, written permission. 
The client agrees to purchase wedding photography prints directly from the photographer unless in possession of the digital negatives which may be purchased separately. The negatives/digital files are our sole property, unless purchased by the client.

YOUR IMAGES ARE ONLY KEPT FOR A MAXIMUM OF SIXTY (60) DAYS AFTER YOUR WEDDING EVENT!

After print release has been purchased, we are not longer responsible for archiving your imagery. 

Our guests should also be made aware that we do not allow outside photography vendors at our locations. Guests, however, may take photos during the reception.  This process is in place in order to maintain a high quality end-product for our couples and business image.  We are an Unplugged wedding venue. The sanctity and ambiance of your ceremony is very important to us. This policy eliminates excessive noisy camera clicks, winding camera noises and prevents guests leaving their seats for photography during your wedding ceremony. We only ask that our guests be considerate and not interrupt the professional photography services that our brides and grooms have paid us to perform.  Imagine 12-20 of your family members standing alongside your professional photographer saying: "Wait a minute!  Can you do that again, I missed it!"  Not only is this frustrating for every bride and groom, but is very interrupting to the thought process of your photographer.  Your photographer has a short period of time to capture the amazing photos that our couples expect.  This day is happening one time.

ALL WEDDING/PHOTO SALES ARE FINAL, NO REFUNDS WILL BE GIVEN AFTER SALE IS COMPLETED.  ALL PRICING QUOTES ARE SUBJECT TO CHANGE BEFORE THE INITIAL SALE.  OF COURSE THIS IS DUE TO THE FACT THAT PRICES ARE SUBJECT TO CHANGE DUE TO INFLATION AND INCREASED PRODUCT COST WITHOUT NOTICE.  THIS POLICY IS BY NO MEANS MEANT TO SCARE YOU.  IT IS SIMPLY TO PROTECT US–THE PHOTOGRAPHERS–OF PRICING CHANGES BY OUR VENDORS AND MANUFACTURERS.


Alcohol Policies

Bride and Groom are allowed to provide beer, wine & champagne for their guests at Flower Mountain. The consumption per adult must be limited to two (2) alcoholic beverages total in the serving amount.  If more per adult than this limit is desired, a bartender must be hired with an $150.00 minimum service fee with a $50.00 bar setup fee.  Mixers, Kegs and signature drinks always require a bartender and additional fees may apply.

WE ARE NOT RESPONSIBLE FOR PROVIDING BOTTLE OPENERS, ICE, COOLERS AND CUPS FOR ALCOHOL. Flower Mountain Weddings does not distribute or purchase alcoholic beverages for any events!  GUESTS ARE NOT PERMITTED TO USE THE REFRIGERATORS ON SITE TO STORE THEIR DRINKS, ALCOHOL OR PERISHABLE ITEMS!  THEY MUST BRING THEIR OWN ICE COOLERS.

Flower Mountain restricts the consumption of alcoholic beverages during event times to reception services only. No alcoholic beverages are to be distributed or consumed prior to reception start times.  Bartender requires all alcohol to be behind the service table.  NO ALCOHOL IS PERMITTED IN THE PRIVATE DRESSING ROOMS. THIS IS STRICTLY ENFORCED!

Regardless of whether a bartender is present, all drinking will cease one hour prior to your departure.  Please designate person in charge of closing the bar and putting away all alcoholic beverages. 

A $150 cleanup/garbage disposal fee is required due to the excessive container amounts left at weddings.

Bride and Groom assumes full liability for any and all property damages that may result or occur due to excessive drinking.  We reserve the right to escort any person(s) off the property that may become intoxicated above the legal limit or displays disorderly conduct.

Bride and Groom holds Flower Mountain Weddings and Gatlinburg Photo, their employees, owners and subsidiaries harmless from any suit, damages or medical injuries--even death--that may occur due to excessive consumption of alcoholic beverages at their event.

TN STATE LAW REQUIRES FOOD TO BE PRESENT AT ALL TIMES DURING BARTENDER SERVICES.
YOUR MUST HAVE YOUR ID PRESENT IN ORDER FOR THE BARTENDER TO SERVE YOU.


Catering, Arrival & Departure Policies

CATERING IS AVAILABLE FOR TWO HOURS.  ANY ADDITIONAL CATERING TIME IS $200.00 PER HOUR. IF YOUR EVENT BEGINS LATE OR DEVIATES FROM CATERING SCHEDULED TIME, YOU WILL BE CHARGED FOR THE ADDITIONAL HOURS. PRORATING IS NOT ALLOWED.  YOU HAVE TWO HOURS OF TOTAL CATERING TIME IN YOUR PACKAGE AND IT BEGINS WITH THE SERVING OF YOUR APPETIZER AT THE STATED TIME.

ONCE CATERING LEAVES, ALL OF THE GLASSWARE, PLATES, ETC WILL BE COLLECTED AND TAKEN WITH CATERING AND WILL NO LONGER BE AVAILABLE FOR YOU.  IF YOU ARE HAVING ALCOHOL AT YOUR EVENT, YOU ARE RESPONSIBLE FOR BRINGING YOUR OWN DISPOSABLE CONTAINERS OR RENTING FOR AN EXTENDED TIME THROUGH THE CATERING SERVICE.  WE DO NOT PROVIDE ICE, EXTRA DRINKS, GLASSWARE, ETC BEFORE AND AFTER CATERING HAS FULFILLED THEIR JOB.  IF YOU WOULD LIKE TO PROVIDE DRINKS FOR YOUR GUESTS AFTER CATERING HAS LEFT, YOU ARE MORE THAN WELCOME/RESPONSIBLE FOR BRINGING YOUR OWN NON-ALCOHOLIC BEVERAGES, CONTAINERS AND ICE. 

DUE TO THE FACT THAT  MAY, SEPTEMBER, & OCTOBER IS OUR PEAK SEASON AND WE HAVE MANY EVENTS BOOKED AT THE PROPERTY, YOUR ARRIVAL TIME AND DEPARTURE TIME WILL BE STRICTLY ENFORCED!  BE AWARE OF VERY HEAVY TRAFFIC IN KODAK, PIGEON FORGE AND GATLINBURG DURING THESE POPULAR TIMES OF YEAR.  USE BACK ROADS AND AVOID THE PARKWAY AS MUCH AS POSSIBLE. 

OUR CLEANING CREW AND STAFF WILL BE SETTING UP FOR EVENTS, CLEANING THE PROPERTY AND RESETTING THE PROPERTY AFTER LATE NIGHT EVENTS, SO IT IS IMPERATIVE THAT YOUR EVENT ENDS AT THE SCHEDULED TIME TO AVOID ANY ADDITIONAL FEES.  ADDING ADDITIONAL TIME MAY NOT BE AN OPTION DUE TO THE OTHER EVENTS THAT ARE ON SCHEDULE IN THE MONTHS OF MAY, SEPTEMBER, & OCTOBER.

EARLY ARRIVAL WILL BEGIN YOUR DRESSING ROOM TIME AND COULD POSSIBLY INTERRUPT SOMEONE ELSE'S EVENT.  LATE DEPARTURES FROM THE PROPERTY WILL INCUR A FEE OF $300.00 PER ADDITIONAL HOUR FOR THE VENUE RENTAL.  PLEASE MAKE YOUR GUESTS AWARE THAT WE DO NOT PROVIDE DRESSING ROOMS FOR ANYONE OTHER THAN THE WEDDING PARTY. 

CHANGES MAY BE MADE UNTIL TWO WEEKS PRIOR TO YOUR EVENT.  ANY FINAL DECISIONS YOU HAVE NOT MADE UP TO THIS POINT (14 DAYS PRIOR TO YOUR EVENT) FLOWER MOUNTAIN WEDDINGS WILL MAKE YOUR CHOICES FOR YOU AND PLACE ORDERS ON YOUR BEHALF, AS STATED ON YOUR CONTRACT.  WE WILL DO OUR BEST TO MATCH YOUR COLORS/THEME AS MUCH AS POSSIBLE.
